If you are a Microsoft Excel user, you may be used to using keyboard shortcuts to perform specific tasks such as inserting and deleting columns and rows in a sheet. The Chrome Browser uses some of these shortcuts for its own functionality, but you can override these so that you can use the shortcuts as you would have in Excel.

Quick Access uses machine learning to intelligently predict the files you need in Drive, and places these at the top of your Drive list for easy access. Quick Access uses information such as who files are frequently shared with, when specific meetings occur and what files are used at certain times of the day to suggest the files you will need each time you access Drive.

Google+ has introduced a new feature called Topics, which will recommend collections, communities and people that you have common interests with e.g. photography, graphic and web design, social media marketing, etc.  You can click on a recommended topic to view collections you may wish to follow, and communities you may wish to join.

You can create pages in your Google Site that you don’t want to display in the menu navigation. You can hide a page from the navigation at any time, and show it in the navigation again if you need to allow easy access to the page again.

As well as adding Google Drive folders from My Drive onto a site page, you can also add any Team Drives that you have access to. Only people with access to the Team Drive will be able to view it on the page, but users with access will be able to view documents in the Team Drive from within the Google Site.

You can add a logo e.g. your company or project logo to the top-left corner of the site, so that it displays automatically on each page of the site. Once a logo has been added, you can use the logo colours in the site theme, or as a section background.

You can add page dividers to a Google Site, which display as lines across the width of the site page. These are especially useful to separate elements of the same type that appear one underneath the other on the page e.g. text boxes.

March 2017 Hangouts

Hangouts Meet is a new G Suite tool that allows you to quickly set up a video meeting and invite guests regardless of their location, domain or device. You can host a video meeting with up to 30 participants, and can even dial into a meeting if you don’t have access to a PC or device with the mobile app installed.

A Team Drive is a shared space where teams can store their files. Users can be added to a Team Drive individually, or via Google Groups - when a new user is added, they will have instant access to the folders of Team Drive. When a file is added to a Team Drive, the ownership of the file is controlled by the Team Drive - if the person that added the file leaves the company, the file won’t be lost.

You can rotate text in a cell, if you need to fit long headings into thin columns, to fit more information on screen. You can rotate the text in a cell to tilt up or down, or to display horizontally or vertically in the cell.

You can insert videos from YouTube or from your Google Drive into a presentation. After inserting a video, you can set options such as the time at which to start and stop playing the video, and whether to autoplay the video when the slide is shown during a presentation.

If you're unsure of where a command is in Docs, Sheets or Slides, you can simply type the feature you are looking for into the Help Search box and the command will be found for you. Clicking on the command will run the command without the need for you to open any other menus. The Search Help box will also display when menus are hidden, making it easy to access all commands without showing the menus on screen.

To promote consistency across your documents, sheets and presentations, you can set up templates that anyone in the organisation can access as the starting point for their new documents. Templates can contain standard text, formatting and layouts.

In a Google form, you can now allow anyone filling in your form to submit files via an “upload file” question. The file they upload will be stored in a folder on your Google Drive, and a link to the file will be added to the response sheet of the form.

As well as mentioning a colleague in a comment in a document, sheet or slide presentation, you can also assign an action to a colleague. Your colleague will be able to see if a document has actions assigned to them, and will be able to mark each action as complete. You can assign an action manually in docs, sheets and slides, or assign actions automatically in a document, by typing text in plain English e.g. William to schedule a follow-up meeting.

If you add certain questions in a Google Form e.g. regarding days of the week, months of the year, sizes, etc. Google will suggest the answers that you may wish to add to the form question. You can choose specific answers from the choices you are given, or choose to add all answers to the form.

When you search for information in Gmail, Calendar or Drive, you will now see results from all apps in G Suite. If you perform a search in Gmail, for example, you will also receive results of any calendar appointments or Drive documents that match your search.

If you use headings and subheadings in a document, you can create a table of contents automatically based on those headings. You can create a table of contents for print or screen reading. If you create a table of contents for print, page numbers will show next to each heading, while a table of contents for viewing on screen will show each entry as a hyperlink to that heading in the document.

You can search for documents in Google Drive using natural language, to eliminate the need to remember search keywords or choose options from the Search drop-down. In addition, Google Drive will automatically check spelling that you enter in the Search box too, and suggest words if it can't find any matches for what you type.

You can add images a form, to support the questions you are asking on the form. If you are using a form as a test, for example, you could include an image on the form, then ask specific questions that relate to that image.  You could also offer a list of images as multiple choice answers to a question.

When a colleague shares a folder with you and you access the folder from the Shared with me list, you will be asble to access the contents in Drive without the need to add it to your My Drive. If you use Google Forms to quiz users, you can grade multiple choice and checkbox questions automatically, to record a score for each person that submitted your form. Once a user fills in and submits your form, they  will be able to review the questions and see which they answered correctly and incorrectly.

If you use the new Google Contacts interface and create a contact for a company that includes a phone number registered on Google Maps, any additional information that is stored on Google Maps will be added to your contact automatically. When you turn this feature on, anyone in the organisation will be able to view the document if they have the link - the link will be copied into the clipboard so that you can easily paste it into an email message or hangout to allow colleagues to access the link.

You can create reminders in the Google Calendar to be notified of an action at a specific date and time. When a reminder shows on screen, you can mark the action as done, or carry them over the next day automatically. You can also set up repeating reminders to show in your calendar at set intervals.

If you store Microsoft Office files such as Word document, Excel workbooks and PowerPoint presentations in your Google Drive, you can now access them from within Outlook, to attach files to email messages and set sharing permissions from within your Outlook messages.

If your administrator has enabled the new Contacts interface on your domain, you can organise your contacts using the new interface, which includes tools to be manage your contacts more easily. You can revert to the old contact list at any time if required.

If you have pasted or imported data into Google Sheets from another source and it hasn’t separated into columns correctly, you can now convert text into columns automatically. You can do this through the Data menu for existing data, or using the Paste icon when you paste new data into a sheet.

When you share a file with colleagues, you can now set an expiration date for the share. If your colleague attempts to access the document after the expiration date, their access will be denied. Note that you can only set an expiration date for colleagues that you give view or comment access to in a document. If you allow colleagues to edit your documents, you will not be able to set an expiration date.

You can now extend the functionality of Google Forms created in the new Forms interface using add-ons, which are useful tools written by third parties and added via the add-ons store for G Suite. However, as the file is not stored in your own Google Drive, it can’t be organised into a specific folder. When you open a shared document, you can now quickly see any changes made to the document since you last viewed it. If multiple people have made changes, their changes will be coloured to show who made which change.

When you create a new document, sheet or presentation from a template, all of the default Google templates will be displayed in sections e.g. Work, Education, Personal.

Slide themes are now selected via the Themes pane which displays on the right-hand side of the screen. New themes are available, and you can import a theme from an existing presentation via the Themes pane.

You can now change the relative size of selected text in a document, either via the menu or using shortcut keys to increase or decrease text size.

The App Launcher button shows near the top-right corner of each screen in G Suite and is used to launch the default G Suite such as Mail, Calendar and Drive, as well as any custom apps that you have access to, including the Cloud Skills Academy. When you share a Google doc, sheet or slide, the people you share the document with will be able to print, download and make a copy of that document, even if they are only given viewing rights to the file. Changes to Information Rights Management in G Suite now allow you to restrict these actions on a shared document, meaning that colleagues with view-only access to your document will not be able to make copies onto their own Drive, print the document or download a local copy.

Sparklines are small charts that are embedded in a single cell in a sheet, and are used to show patterns in a range of values in the worksheet. If the data in the worksheet changes, the sparkline will update automatically.

If you receive a Microsoft Office document in an email message, you can choose how to act on the attachment. As well as viewing the attachment on screen or downloading it to your computer, you can also choose to convert the file to Google Docs, and open it on screen for editing.

You can number slides automatically in a Google presentation. You can choose to number all slides, or to leave numbers off any title slides in the presentation. Similarly, you can choose to remove slide numbers at any time.

If you are using the new Google Drive interface and have installed Google Drive on your PC, you can launch non-Google files from Drive, directly from your web browser. When you right-click over a file, Google Drive will show all of the desktop applications that you have which can be used to open the file - when you choose an application, it will be launched automatically and the file will be opened.

You can extend the functionality of Google forms using add-ons, which are useful tools written by third parties and added via the add-ons store for G Suite. Examples of add-ons for forms include tools to add form questions to Google docs, and tools to stop receiving form responses after a specific number of responses has been reached.

July 2014 Drive

Over the next few weeks, G Suite users will be able to opt-in to a new Google Drive interface. As with the new email interface introduced a few years ago, there will be a crossover period where users will be able to use either - so the Cloud Skills Academy will support both interfaces.

If you install the Office Editing for Docs, Sheets & Slides Chrome extension, you can edit MS Office files directly from Google Drive or Gmail without the need to download the file and use the native application. Once opened, the MS Office file will be saved in your Google Drive, and can be reopened at any time to make further edits.

You can now customise the heading styles in a Google Site, to ensure all headings on web pages follow the same font, colour and text size. Google Sites have three heading styles, for main and sub headings - H2, H3 and H4. In addition, you can set the style of the main header on each site page.

You can insert images into your messages that you are stored on Google+, either that you have added manually or that are auto backed-up from your phone. You can also add images saved on your PC, or by an image's URL on the web. There is no need to enable any Labs in order to use this functionality.

You can add stars to contacts in your contact list, in the same way that you add stars to messages in your mailbox. This allows you to access important contacts easily in your contact list.

You can view an activity stream in Google Drive, to see all of the changes made to the documents that you have access to. Activities such as editing, commenting, sharing, uploading and removing will be shown for all documents in Drive. When you select a specific document, only the activities for that document will be displayed.

By default, Gmail will download any images in your email messages as display them as normal in the message. If you have a slow internet connection, you can choose to hide the images in all messages, and display them in each message as required.

If you mention someone in a document comment using + or @ and they don't have access to the document, you will now be prompted to share the document with them with comment-only access.

When you mention someone in a comment, they'll receive an email notification containing the comment and a link to the document. 

November 2013  Email  The way that file attachments now show in an email message has changed significantly. 

When you click on the message to open it, a preview of each attachment will display at the bottom of the message - you can view attachments, download them or save them to Google Drive without leaving the email that they are attached to.

You have always been able to add all members of a Google Group to a calendar event. Now,  once the event has been scheduled, the attendee list will update automatically if new members are added to the group, or if members are removed from the group.

Instead, you will see an Apps button near your user name along the top of the screen, which you can click on to switch between apps. To access the Academy, and other Marketplace apps, you will need to click on the Apps button, then click on More.
